CentralReach QuickBooks Integration

Qlarity moves your CentralReach billing data into QuickBooks Online. Export the billing spreadsheet you already pull from CentralReach, upload it to Qlarity, and Qlarity posts the revenue into QuickBooks Online through a direct QBO connection. No pivot tables, no manual journal entries, no re-keying, and no PHI stored.

How it works

  1. Export your billing report from CentralReach the way you do today.
  2. Upload the spreadsheet to Qlarity.
  3. Qlarity reads it, maps each procedure code to the QuickBooks Online income account you choose, and flags anything that looks off.
  4. Qlarity posts the revenue into QuickBooks Online through its direct QBO integration.
  5. You review the result. Your books tie to your billing system.

Posted on an accrual basis

Revenue is recorded in the period the service was delivered, not the period the payer funded it. That keeps payroll and the revenue it produced in the same month. It also means you can toggle QuickBooks Online reports between accrual and cash whenever you need the cash view, because the accrual detail is already there.

Dates of service grouped by week

Each invoice groups dates of service into a single week, so QuickBooks Online reports run cleanly at both weekly and monthly intervals off the same data. When a month starts or ends mid-week, that week splits into two invoices so the period cutoff stays clean and nobody has to write a manual accrual entry every month.

RBT and BCBA revenue on separate lines

Tie each procedure code to the QuickBooks Online income account you want it in. Direct treatment codes go to technician-delivered revenue. Assessment and supervision codes go to BCBA-delivered revenue. Break payroll out the same way and your profit and loss shows gross margin by service type, giving you a direct reference between what it costs to deliver and what it earns, by role.

What else you get

  • Revenue broken out by funder, service location, and procedure code.
  • Duplicate detection, so uploading the same export twice never doubles your revenue.
  • A clean audit trail from spreadsheet to posted entry.
  • No PHI stored. Qlarity works with billing and revenue data, not clinical records.
  • A month-end close that is a review instead of a rebuild.

Why ABA operators need it

Most multi-location ABA practices reconcile CentralReach to QuickBooks by hand. Someone exports a billing report, pivots it in Excel, keys a summary journal entry, and hopes the totals tie. That takes hours every month, breaks when staff turn over, and hides the thing owners actually want to know: which payers, which locations, and which service types are profitable.

Qlarity keeps the export step you already know and removes everything after it.

Who it is for

  • ABA practice owners and operators running CentralReach
  • Practice managers and RCM leads responsible for billing accuracy
  • Bookkeepers and controllers who close the books for ABA clients
  • Multi-location, multi-payer practices where one summary number is not enough
