CentralReach and QuickBooks Online FAQ

Common questions from ABA therapy operators about moving billing data from CentralReach into QuickBooks Online with Qlarity.

Do I need to request access or join a waitlist?

No. The app is live. Sign up at app.getqlarity.app/register and we will reach out to get you onboarded.

Does Qlarity connect directly to CentralReach?

No. You export your billing spreadsheet from CentralReach the same way you do today and upload it to Qlarity. Qlarity has a direct integration with QuickBooks Online and posts the revenue there.

Does Qlarity store PHI?

No. Qlarity does not store protected health information. It works with billing and revenue data, not clinical records.

What does Qlarity cost?

$199 per month. The first 30 days are free.

Does Qlarity post on a cash or accrual basis?

Accrual. Revenue is recorded in the period the service was delivered rather than the period the payer funded it, so payroll and the revenue it produced land in the same month. Because the accrual detail is there, you can still toggle QuickBooks Online reports to cash basis whenever you need the cash view.

How are the invoices dated?

Each invoice groups dates of service into a single week, so QuickBooks Online reports run cleanly at both weekly and monthly intervals. When a month starts or ends mid-week, that week splits into two invoices so the period cutoff stays clean and nobody has to write a manual accrual entry.

Can I separate RBT and BCBA revenue in QuickBooks Online?

Yes. You can tie each procedure code to a specific QuickBooks Online income account, so technician-delivered services and BCBA-delivered services land on separate revenue lines. If you also break payroll out by technician and BCBA, your profit and loss gives you a direct reference between cost to deliver and revenue earned, by role.

Do I need to change how my team bills in CentralReach?

No. Keep your current billing workflow and your current export. Qlarity starts where that export ends.

How does Qlarity break out revenue?

By funder, service location, and procedure code, so you can see which payers and which locations are actually profitable.

Will it create duplicate entries in QuickBooks Online?

No. Qlarity checks for duplicates before posting, so uploading the same export twice will not double your revenue.

Does Qlarity work with QuickBooks Desktop?

No. Qlarity integrates with QuickBooks Online.

Who is Qlarity for?

ABA therapy practices that bill in CentralReach and keep their books in QuickBooks Online. That includes practice owners, practice managers, RCM leads, and the bookkeepers and controllers who close the month for them.

Is Qlarity affiliated with CentralReach or Intuit?

No. Qlarity is an independent product and is not affiliated with or endorsed by CentralReach or Intuit QuickBooks.
